Start with the requirement in your supplier approval checklist, then match it to the document below. Check who or what was assessed, the stated scope and the applicable dates. Keep management systems, sourcing claims, tested materials and factory assessments as separate evidence: one cannot fill a gap in another.
Check the Document Before Using the Claim
For FSC requirements, compare the certificate holder and scope with the supplier and material named in your order, and verify the current status through the official certificate search. Ask what claim will appear on the order documents and who will approve any label artwork. Resolve a mismatch before printing rather than assuming the website image covers it.
For ISO 9001, request the certificate and check the issuing certification body, reference number, scope and validity. For a test report, compare the tested material with the board, ink, coating, adhesive or insert being ordered.
An image on a website is a starting point for review. Procurement approval should use the complete document and the specification for the actual order.
FSC Labels and Material Selection
Decide whether you need sourcing documentation, an eligible order claim, an on-pack label, or a combination. They are different approval tasks. Identify the material and intended claim at quotation, then confirm label permission and artwork before printing; Chain of Custody certification does not automatically make every offered box an FSC-labelled product.
Finishes and mixed materials also need separate consideration. Certification of the paper sourcing chain does not itself establish the recyclability, food-contact suitability or chemical compliance of the complete package.

Can we review certificates before placing an order?
Ask for the relevant certificate and report package when preparing supplier approval. State the document names and scope your purchasing team needs so the team can confirm what is applicable.
Can you provide reports for our destination market?
Send the destination, product type, packaging materials and required test or retailer specification. We will review existing records and discuss whether additional testing is needed, including its cost and timing.
Does standard gift packaging cover direct food contact?
Direct food contact is a separate requirement. Identify whether unwrapped food will touch the box, tray, coating or liner. Agree suitable materials and the required supporting documentation before quotation and sampling.
Can we arrange a factory review or inspection?
Discuss an on-site visit, remote walkthrough or third-party inspection with the team. Agree the scope, schedule and access arrangements for the actual project. The factory page outlines the production stages to review.
