China Gift Box Supplier Audit: Documents to Verify Before Paying a Deposit

Before paying a China gift-box supplier, reconcile the legal identity, quotation, bank beneficiary and production address. Before releasing later payments, reconcile the approved sample, inspection scope and packing records. An unexplained mismatch needs resolution at the relevant payment gate.

Procurement Control

Use the document pack after building a shortlist. The China gift box manufacturer comparison separates factory-direct, online-platform, and managed-service models before this evidence audit begins.

This document audit is a procurement control, not a promise that a supplier will perform perfectly. It creates a traceable chain from “who receives the order” to “what was approved” and “what is released.” A polished website, a video call, or a sample can support evaluation, but none substitutes for matching the legal, commercial, technical, and shipping records used in the transaction.

Build one supplier document pack

Build the file so another buyer could reconstruct the decision. Keep the original license, quote, bank instructions, sample revision and review dates rather than overwriting earlier versions. A later change in payee or specification should create a new approval decision, not disappear into a chat history.

The table below is a decision worksheet. “Match” means compare fields across documents; it does not mean a buyer has independently proved every statement. When evidence is incomplete, record the question, the supplier response, and who accepted the remaining risk. Legal, tax, import, food-contact, cosmetic, child-safety, or other regulated requirements should be reviewed by a qualified adviser for the destination market.

Document What to match Red-flag decision
1. Business license Legal company name, unified registration code, registered address, status, and business scope against the contracting entity. Pause if the file is unreadable, the entity cannot be identified, or the quotation uses an unexplained different name.
2. Bank beneficiary evidence Beneficiary name, bank country, account details, invoice issuer, and contract party; confirm any related export entity in writing. Do not pay a changed or unrelated account based only on an email or chat instruction. Reconfirm through an established contact channel.
3. Factory address evidence Production address against the address stated in the quotation, audit report, visit plan, or video-tour invitation. Clarify whether production is subcontracted when addresses differ; decide whether that arrangement changes inspection or approval needs.
4. Certification holder, scope, and validity For an FSC certificate or other requested certificate, match holder name, code, product scope, status, and expiry to the relevant entity and order claim. Reject screenshots, logo artwork, expired files, or certificates whose holder and scope cannot be connected to the order.
5. Material declarations where applicable Declared board, paper, ink, adhesive, coating, insert, or restricted-substance information against the written specification and destination requirements. Escalate vague “eco” or “safe” labels that lack a defined material, scope, issuer, test basis, or applicable order reference.
6. Quotation specification Finished dimensions, structure, board, wrap, print, finish, insert, quantity, tolerance, proof method, Incoterm, packing, and exclusions. Do not compare or approve a price when key specifications are blank, bundled ambiguously, or contradicted by the sample brief.
7. Signed dieline File revision, dimensions, cut and crease lines, artwork panels, bleed, safe zones, finish layers, and approval name/date. Stop production if supplier and buyer are working from different revisions or if approval exists only as an unlabelled image.
8. Color standard Pantone or other target, substrate, print method, finish, viewing condition, tolerance language, and retained physical reference where used. Clarify if approval relies only on an RGB screen image or if the approved substrate and finish differ from production.
9. Sample approval record Sample version, dimensions, materials, artwork, color, finish, insert fit, packing method, accepted deviations, approver, and date. Do not treat casual praise in chat as complete sign-off; list corrections and identify the final retained reference sample.
10. QC plan Inspection stage, measurable checks, sampling approach, defect definitions, reporting format, responsibility, and response to nonconformity. Escalate a plan that says only “quality checked” without defined checks, evidence, timing, or disposition authority.
11. Packing specification Pieces per inner and master carton, protective materials, carton dimensions and weight, marks, labels, pallet rules, and orientation. Hold approval when freight planning uses estimated cartons that conflict with the production packing method.
12. Shipment documents Commercial invoice, packing list, inspection evidence where required, transport document, quantities, carton totals, weights, marks, and consignee details. Do not release against inconsistent totals or identities until corrections are issued and reviewed under the agreed payment terms.

Before deposit: verify identity, payment, scope, and offer

Match the contracting company to the invoice and payment instructions before sending a deposit. A separate export or receiving entity needs a documented relationship and role. Pause an unexplained change until it is independently clarified; a familiar contact name does not settle a different beneficiary.

For FSC claims, verify current evidence with the issuer. The FSC public certificate search lets buyers check holder, code, scope, status, and validity. Confirm that the legal entity and requested material claim are within the record you found. Certification evidence is time-sensitive, so save the search date and ask the supplier to clarify any expired, suspended, mismatched, or out-of-scope result. Apply the same holder/scope/validity logic to other certifications requested by your organization.

The quotation should make the commercial boundary visible. Dimensions need inside/outside definitions; materials need usable grades; finishes and inserts need construction detail; quantity and tolerance need units; and Incoterm needs a named place. Capture tooling, samples, testing, inspection, packing, freight, taxes, and other exclusions. A deposit decision is more defensible when the buyer can point to one written specification rather than reconstruct the offer from scattered messages.

Before production: lock the technical approval record

Once commercial terms are accepted, the control shifts from identity to version management. The signed dieline should carry a clear revision number or date and show the structural and artwork layers being approved. A color target should name the reference system, substrate, print process, finish, and physical standard when one is used. These records should agree with the quotation and purchase order. If a sample changes dimensions, paper, foil, laminate, magnet, ribbon, or insert, revise the written specification before authorizing production.

A sample approval record is strongest when it separates accepted features from open corrections. Record the sample ID, photographs, measurements, materials, finish, insert fit, opening behavior, packing method, and approver. Note deviations the buyer accepts and corrections the supplier must make. Keep one physical sample on each side when practical and identify it in the record. This avoids the common dispute in which both teams remember a different version as “the approved sample.”

The QC plan translates the approved sample into repeatable checks. Define what is measured, when it is measured, how findings are recorded, and who decides whether defects are reworked, replaced, accepted, or escalated. Checks might cover finished dimensions, artwork version, color reference, surface defects, glue, alignment, closure, insert fit, quantity, and packing, but the exact plan should follow the product and order risk. A checklist is useful only if each item has an observable decision.

Before balance payment: reconcile goods, packing, and release evidence

Before balance payment or shipment release, connect the production result to the approved pack. Review the inspection evidence required by the purchase agreement, then reconcile the packing list, commercial invoice, carton count, carton dimensions, weights, marks, and consignee details. Confirm that the final packing data matches the freight booking assumptions. A difference can be harmless, such as a corrected carton optimization, but it can also affect freight cost, warehouse receiving, or quantity reconciliation.

A third-party inspection can add independent observation at a defined stage. Its scope must still refer to the current specification, approved sample, and defect rules. An inspection report does not repair a weak purchase specification, and passing a sampled inspection is not a legal guarantee. Decide in advance who books the inspection, what the inspector checks, what sampling or test method applies, how failed findings are handled, and whether payment or shipment is conditional on the report.

Use a simple release log: document received, reviewer, date, mismatch, supplier response, decision, and approver. The goal is not paperwork for its own sake. It is to prevent a payment instruction, artwork revision, material substitution, or packing change from moving forward without the right person seeing it. When a point remains unresolved, record the risk and obtain appropriate commercial, technical, or professional advice before proceeding.

Frequently asked questions

When should a buyer request the supplier document pack?

Request identity, bank, certification, quotation, and draft specification documents before paying a deposit. Request signed dieline, color standard, sample approval record, QC plan, and packing specification before production. Request inspection and shipment documents before balance payment or release, according to the commercial terms agreed with the supplier.

What should I do if the company name and bank beneficiary do not match?

Pause payment and ask for a written explanation supported by verifiable company records. A related trading or export entity may be legitimate, but the relationship, invoice issuer, contract party, and receiving account should be clear. Escalate unresolved mismatches to your finance or legal adviser rather than relying on chat messages.

How do I verify an FSC certificate supplied by a packaging factory?

Use the FSC public certificate search to check the current holder name, certificate or license code, scope, status, and validity. Match those fields to the legal entity on the quotation and ask whether the specific material and claimed label use fall within scope. Do not treat a logo image or an expired PDF as current evidence.

What should a sample sign-off record contain?

Identify the sample version and date, approved dimensions, materials, artwork revision, color reference, finish, insert fit, packing method, accepted deviations, and approver. Attach photographs where useful and state which physical sample is retained as the production reference so later decisions do not depend on memory.

Does a document audit replace third-party inspection?

No. A document audit checks identity, scope, specifications, approvals, and planned controls; it does not prove that finished goods conform. Buyers can add an independent pre-shipment inspection or other testing appropriate to product risk, destination rules, and the purchase agreement, then review the resulting report before release.
